Imagicon Terms and Conditions

1.) Liability A – Entering the site of the event and attending the event is at the risk of the visitors, meaning that the organization of Imagicon takes no liability for any damage caused by the earlier mentioned entry and/or attendance of the event, such as, but not limited to, hearing, facial-, or other bodily damages. B – The organization of Imagicon is in no way liable for loss or damage of personal belongings. Personal belongings are taken to the event by the visitor on their own risk. C) – The organization of Imagicon is in no way liable for personal accidents taken place in or around Congress centre De Reehorst. 2.) Tickets and Entrance A – The organization works with unique tickets for each age group with a single-use scancode. Each visitor has to buy a seperate ticket. Visitors that have bought a child or teenage ticket must be able to confirm their age by showing their ID when requested. B – A ticket is valid only on the day for which it was bought. C – The organization does not refund purchased tickets. D – The organization is not responsible/liable for lost or stolen tickets, nor for tickets that have been illegally bough through third parties. E – After checking the ticket each visitor receives a wrist band upon entering. This band must be worn in a clearly visible manner at all times. Visitors are not permitted to remove the strap from the wrist and wear it in a different way. When a visitor cannot show the wrist wrap he/she will immediately be denied further access to the convention. F – Visitors under 13 must be accompanied by an adult of 18 years or older at all times. 3.) Cancellations A – The organization of Imagicon has, at all times, the right, caused by special circumstances or force majeure, to change the date of the event or cancel it, without the buyer of a ticket being able to claim restitution or reimbursement for any damage B – In the case of an alteration of the date, the ticket buyer is expected to have paid and to participate in the event on the new date on the same conditions as previously agreed to. C – By force majeure, we explicitly mean circumstances and/or influences from outside of the organization of Imagicon, which would make it impossible to let the event go on. Such things include, but are not limited to: * A prohibition on holding public events, issued by the government. * Terrorist Attacks * Natural disasters and extreme weather * Epidemics 4.) Behaviour A - Visitors are free to dress and behave as they wish, as long as they behave respectfully towards other visitors, members of the organization and the staff of the Reehorst. We also expect visitors to ensure that their clothes do not violate decency standards. B - Attributes and expressions (including costumes) of a political nature (both extreme left wing and extreme right wing) or a discriminatory nature are prohibited. The same applies to attributes or expressions that are contrary to provisions of the Dutch Constitution and banned by the Supreme Court of the Netherlands, such as depictions of the Nazi swastika and the SS- insignia. C - The organization will not, under any circumstances, tolerate any form of harassment, (verbal) violence or sexual intimidiation whatsoever. Visitors who do not abide by this rule will be removed from the site immediately and be denied further access to the convention. If you see or hear someone misbehave in this manner, or are subject to such behaviour, please contact an employee of the Imagicon Foundation immediately. D - In the event of a disagreement with another visitor you are advised to contact a employee of the Foundation Imagicon or, if this is not possible at that time, to contact a member of the De ReeHorst. They will attempt to resolve the disagreement. The decision of the employee is final and binding. 5.) Program A – The halls of De Reehorst have a maximum capacity, established by the fire department. As soon as the halls reach their maximum capacity, no more people will be allowed in said hall. B – In the program halls, cellphones should be on silent or flight mode, or be turned off. C – Any named guests are present with reservation. D – The organization of Imagicon aspires to run the program as close as possible to the announced time scheme. However, it is possible that changes may be made on the day of the event due to unforeseen circumstances. There cannot be, at any given time, any rights derived from the program and time scheme. 6.) Image and sound recordings A – The organization of Imagicon has the right to, whether or not instructed, make image- and sound recordings. B – During the event, photographs may be taken anywhere, unless otherwise indicated by De Reehorst or the organization of Imagicon. Any visitor can be photographed (without consent) for either personal or public use. Persons appearing on these photographs cannot impose any sort of reimbursement. C – It is prohibited for visitors to record in the program halls. Photographing without flash is allowed. D – Bringing amateur photo- and film equipment is allowed outside the program halls. E – Use of material, other than personal use, made on this event, is not allowed. F – Image-and sound recordings made on the event are to be used for non-commercial purpose only. For commercial use, prior and written consent is needed. 7.) Rules concerning buying/selling/bringing of goods A – It is not allowed to sell products on and around the property of De Reehorst without prior consent from De Reehorst or the organization of Imagicon. This includes selling food and drinks. B – Exhibitors are prohibited from selling food or drinks on the exhibition floor. C – It is not allowed for visitors to bring chairs, couches and/or tables of their own to the event. D – It is not allowed to bring your own food and drinks to the event. E – Possessing, selling or consuming strong liquor is prohibited. F – Possessing, selling or consuming (soft)drugs is prohibited. G – The organization cannot be held responsible for products sold by exhibitors. H – The organization is not liable for defects in products that are bought at one of the exhibitor’s. Only the relevant exhibitor is liable for such defects. I – Sale of firearms is not permitted. J – The organization reserves the right to seize products/goods that it thinks could pose a danger to its owner or other goods/products. These products/goods are stored in a secure location and can be retrieved by the owner at the end of the day. K – The organization is not responsible for theft, destruction or any kind of defect that can occur when seized goods/products are stored. L – Confiscated goods/products are stored for up to two weeks after seizure, after which they are destroyed. 8.) Cosplay & Attributes (props) A – Visitors of the event are prohibited to carry weapons or items that look like weapons or can be used as weapons, unless these are clearly recognizable as fake. B – Allowed props cannot be wider then 1m and should be carried in such a way that no other visitors experience any kind of  hindrance from the prop. C – Sharp points and edges must be covered, otherwise the prop will not be allowed onto the event. D – It is not allowed to use your prop in a way that may endanger other visitors. Such movements are allowed at the Galaxy Masquerade , if the cosplayer can use their prop in a controlled manner. E – Keep your props with you at all times. An abandoned or unguarded prop will be stored in a designated space until the owner picks it up. The owner must be able to provide evidence that he/she is the rightful owner of the prop. F – Whenever there is doubt about whether or not a prop is allowed, a member of security or a member of the organization of Imagicon will have the final say. Props that are deemed prohibited will be stored in a designated space. Imagicon is not responsible for any possible damage to the prop that has been stored. 9.)Distributing flyers A – Passive flyering is allowed from a stand. This means that when a standholder gives a flyer after the purchase of a product, the visitors are free to accept this. B – It is not allowed to distribute flyers outside of the hall that is designated for standholders (exhibitor hall, The Vortex). C – It is not allowed to advertise for goods and services that have not been allowed access to the event. D – It is not allowed to have visitors and participants of the event take a survey, on the parking lot, nor in a 100 m range from the event. 10.) Parking A – There is plenty of parking space on the ground directly behind the congress center. This lot is looked after by De ReeHorst . The organization of Imagicon is not responsible for this space nor are they responsible for any damage to cars or other means of transportation during the time they were parked at the parking lot. B – To use this parking space visitors must buy a parking coin (cost: 5 Euros), which can be bought at the entrance. C – There is additional (free) parking space within walking distance of the event. 11.) Additional Notices A – The organization of Imagicon has the right to take the following repercussions against a visitor/standholder at the expense of a visitor/standholder, when they contradict the terms and conditions or do not follow the instructions of the staff, without prior notice or legal intervention: * Immediately remove the offending parties and/or close the stand at the expense of the visitor/standholder. * Confiscate items as well as objects used to build the stand. B – Animals are not allowed, with the exception of assistance dogs. C – The congress centre is accessible to wheelchairs. When you are in need of assistance or are unable to locate a facility such as a wheelchair lift or a toilet, please turn to an Imagicon staff member or a staff member of De ReeHorst. D – Anyone who enters the congress centre must also abide by the terms and conditions of De ReeHorst. These can be found on their website. E – Dutch law is applicable on these terms and conditions. Any disputes between the organization, visitors or stand holders will be solved by an authorized judge. F – If in any way these terms and conditions are not specific enough, the organization of Imagicon will have the final say in any decision in regards to an event that is not described in these terms and conditions.
